Summary
This article describes the creation of a work order based on a Date Proposal (e.g. recurring activities with or without Object Monitoring Lines). Furthermore, it is explained how to navigate and select specifically in Date Proposals with the help of the "Date Proposal Worksheet" function for the creation of work orders or order extensions. In this context, the possibility of creating follow-up work orders is also explained.
General Information about Date Proposals
Date Proposals in MAIN-TOOL can be generated from:
- Recurring Activities based on Time Schedules
- Recurring Activities based on Object Monitoring Lines
- Current or Overdue Work Order Requests
- Current or Overdue Work Orders
A work order can also be created based on a Date Proposal as will be explained below. First, however, some information about the Date Proposals.
Role Center Date Proposals
In the role center, date proposals of all monitoring types are displayed.
In the “Workplanning” Role Center, the date proposals of the monitoring type “Time Schedule” will be calculated automatically based on the user defined Setup.
Based on the at setup defined period data, the existing work order requests, work orders, date proposals will be assigned to the individual tiles “Overdue”, “Current” and “Future” in the role center.
By clicking on the desired tile, the related list view can be opened.
Note:
- If the „Date Preview Period” field in the Work Order Management Setup is not filled, no Future Appointments will be calculated, this means, MAIN-TOOL just calculates the next due Appointment.
For every User of the workplanning role center an individual role center setup must be carried out.
This includes a user-related “Date Proposal Name”, in particular.
At the Date Proposal Setup following right Columns must be selected:
- Time Schedule
- Object Monitoring Line
- Only valid Lines
- Automatic Update Lines
- Hide Status Window
- Used for Rolecenter
Function „Date Proposal Worksheet“
Alternatively, all existing Date Proposals (but also Work Orders and Work Order Requests) can be calculated with the function “Date Proposal Worksheet” (searching for “Date Proposal Worksheet”).
In the document „APM06 Manual - Date Proposal when due BC18“, the individual functions and tabs are explained, which enable defining of filter criteria, e.g. to set time periods, to group proposals per Time Schedule or concerning Technical Object, etc.
Function „Create Work Order“ vs. „Expand Work Order“ in the Date Proposal Worksheet
In the two aforementioned procedures for selecting Date Proposals, in addition to the function of creating a work order based on the Date Proposal ("Create Work Order"), there is also the option of expanding an existing work order ("Expand Work Order"). This means that existing work orders in the "Planning" status can be extended by additional tasks or activities.
An example of this can be that during the planning of maintenance activities, repair requirements are discovered and should also be processed on this occasion.
However, the evaluability and transparency of the activities is speaking against this expansion function, as the following side effects may arise from this:
- Mixing of work order categories
- Mixing of Type of Activities
- Mixing of cost centers
If the mentioned repair requirement is to be documented transparent in terms of resources and material consumption, it is recommended to record this as a separate work order.
An optimal way to do this is the follow-up work order, which is explained in chapt. 4.
Creating Work Order from Date Proposal
The basic procedure for creating a work order from a date proposal is identical for the date proposals in the role center or the date proposals displayed by the function “Date Proposal Worksheet”.
The 2 functions to create work orders
- “Create Work Order à Date Proposal Line-Single”
- “Create Work Order à Date Proposal Line-Multiple”
can be found by clicking on “Overdue Date Proposals” in the Role center in the list view in the 2nd line that is then displayed.
MAIN-TOOL supports marking of data records, i.e. it is possible to create several work orders in one work step.
In the case of several marked data records, there is then the option of creating individual work orders or a collective work order. With the latter option, however, it must be ensured that:
- Work Order Category, Type of Activity, Cost Centers are not mixed,
- the same referenced technical object has been selected for date proposals in question.
Before the work order is created, the known query for the number series appears.
MAIN-TOOL confirms the successful creation of the work order with a query to display the new work order:
Confirming the query with „Yes“ opens the work order for processing.
Creating a Follow-Up Work Order
As mentioned before, maintenance and inspections regularly lead to follow-up activities, e.g. repairs. In order to optimize the evaluability of the data, maintenance tasks should generally not be combined with repairs so as not to mix up work order category, type of activity, malfunction code, type of damage, figure of damage and cause of damage. Furthermore, commercial specifications often exist, e.g. in the form of separate budgets, and in order to charge these correctly, repairs resulting from maintenance can be mapped via follow-up work orders.
MAIN-TOOL allows the entry of follow-up work orders in up to 8 levels, with an unlimited number of follow-up work orders, which is advantageous e.g. for extensive (reconstruction) projects, where it is not yet completely foreseeable at the beginning, which workload arises at which point.
The ability, to arrange follow-up work orders hierarchically can improve transparency and traceability of processes.
At the work order card view, with clicking on “New”, the “Create Follow-up work order” function is displayed.
After clicking on “Create Follow-up work order” the known query for the number series appears.
Then the follow-up work order is created and opened. Only following information is transferred or preset from the work order to the follow-up work order:
- Reference to the technical object in „Reference Object“, „Detail No.“ and „Detail Description”
- „Type of Origin“ and „Origin No.“
Subsequently, the processing of the work order can be started.
