Once the checklist is completely setup, it can be stored in a time schedule or work order.
Example Time Schedule
Integrating the Checklist into a Time Schedule
In the following Example, the checklist „I-TS-AFC“ is added to a time schedule for the air filter exchange. With click on “Process”, then “Texts” in the card page view of the time schedule, the list of Time Schedule “Texts” can be shown.
In the column “Type“, „Instruction” must be selected and in the field “Code”, the code of the instruction must be selected. By leaving the field the stored content will be displayed.
The Checklist is now stored in the Time Schedule. The checklist is also displayed in the Info box “Time Schedule Texts”:
When the instruction was created, the individual checklist tasks were marked as mandatory, which is why the confirmation of these 3 checklist tasks will be required to report any work order as “finished”, that is generated from this time schedule.
Work order from Time Schedule
A work order was created from the „Air filter Exchange” Time Schedule. The checklist contents were automatically copied into the work order texts and linked to the technical object, and a “Result” column was added, as can be seen in the “Work Order Texts” Info box (other available columns in the work order texts were hidden).
As mentioned, it is crucial in order to report the work order as “finished” (Status change “Finished”) that all mandatory checklist tasks in the work order have been answered. It is important to note, that a work order feedback, that has been created to a work order, also have these checklist tasks. However, answering the mandatory checklist tasks in the work order feedback does not result in an update in the work order and is therefore not useful.
Only when all checklist tasks in the work order have been answered, it is possible to report a work order as „finished“ in the course of a work order feedback.
Therefore, it is recommended to consistently ensure from the beginning that mandatory checklist tasks are always answered directly in the work order for which 2 options are available:
- By clicking on „Edit“ in the Info box „Work Order Texts“ or
- By clicking on „Process“, then „Texts“ in the function bar
the „Work Order Texts“ are opened. Row by row, the answers are now entered in the „Result“ column, according to the range of value specification.
Once all checklist tasks have been answered, i.e. "Results" entered, the work order can be reported "Finished" and posted.
Work Order with Performance Characteristics Acquisition
Performance Characteristics Acquisition is understood to mean recording and documenting performance data of the technical component when processing the work order. The instruction to document performance characteristics such as counter readings, consumption displays, etc. is implemented via the checklist.
Integrating the Checklist into a Work Order
In the following example, the „OHM“ checklist is added to a work order for the maintenance of a compressor. Clicking on „Texts“ in the work order card page view displays them.
In the column “Type“, „Instruction” must be selected and in the field “Code”, the code of the instruction must be selected. By leaving the field the stored content will be displayed.
In order to write the Counter Reading Value during the work order feedback process to the performance characteristics ledger entries of the technical component, the assignment of the checklist to the technical object must now be established. Therefore, the selection of the technical component must be confirmed in the “Detail No.” field.
By leaving the field, the „Line No. (Object Monitoring Line“ will be filled in automatically.
It must be checked whether there is a match between the Monitoring Template Code “I-CR C4711” defined for the assignment of the Counter Reading Value in the checklist and the Template Code on the technical object, since several different object monitoring lines can exist here.
By clicking the Assist button (3 horizontal dots) next to the „Line No.“, the „Object Monitoring Line List“ of the technical component can be opened and the assignment can be checked.
Work Order with Checklist
The Info box „Work Order Texts“ shows, that a checklist for the recording of operating hours has been linked to the technical component in the work order.
It is recommended to consistently ensure from the beginning that mandatory checklist tasks are always answered directly in the work order for which 2 options are available:
- By clicking on „Edit“ in the Info box „Work Order Texts“ or
- By clicking on „Process“, then „Texts“ in the function bar
the „Work Order Texts“ are opened and the relevant value is entered in the „Result“ column.
Additional Notes
- It is recommended that the text of the checklist tasks for which feedback is expected be phrased as a question.
- The data type from the Range of Values must match the data type of the checklist task.
- It is recommended, that the checkbox „Mandatory“ is only activated for really relevant checklist tasks.
- It is recommended to deactivate the function “Check Work Order Texts Finish“ in the Work Order Management Setup when using mandatory information, as the activation of this function leads to plausibility checks in the background, which may unnecessarily complicate the processes.
- It is recommended to create a value range of the type “Text” with the values “Yes” and “No” for “Yes/No” queries. In interaction with the MAIN-TOOL Mobile App, the display is improved compared to the Boolean data type.
In contrast to a checklist in a time schedule, the assignment to the technical object does not take place automatically for a checklist in a work order. However, the assignment to the technical object is relevant for the recording of performance characteristics and therefore, in the case of checklists in work orders, special care must be taken to ensure, that the reference to the technical object has been established in the “Detail No.” column and to the correct object monitoring line in the “Line No.” column.
